Survey: Shaping new community energy resources

You will be asked in the survey to confirm you have read and understood the following statements.

The survey is being undertaken as part of the Community Energy Commercialisation Standards programme, delivered by Regen, Carbon Co-op and Spencer West LLP on behalf of the North West Net Zero Hub.Your responses will be accessible to the project team and will be used for the purposes of research, analysis and  development of resources under the Community Energy Commercialisation Standards programme.

Survey findings may be reported in an aggregated or anonymised form in programme reports, guidance and other outputs. We will not identify you or attribute comments to you publicly without your permission. Information about how we collect, use, store and retain personal data, and your rights in relation to that  data, is available in our privacy notice on this webpage.

Confidentiality

Survey responses will not be made publicly available. Information gathered will only be used by the project team to inform the Community Energy Commercialisation Standards programme.Section four of the survey includes a call for documents from community energy stakeholders.

In this section, we have included questions about how these documents can be stored, shared and used.

This survey is being carried out as part of the Community Energy Commercialisation Standards programme, funded by the Department for Energy Security and Net Zero and delivered by Regen, Carbon Co-op and Spencer West LLP on behalf of the North West Net Zero Hub.

For the purposes of UK data protection law, Regen is the data controller for personal information collected through this survey.

What information we collect:

If you choose to take part in the survey, we may collect:

• your name;
• your email address;
• the name and type of organisation you represent;
• your responses to the survey;
• information you choose to provide in free-text responses; and
• information relating to any documents or materials you choose to share with the project team.

Please avoid including personal information about other individuals in your survey responses or uploaded documents unless it is necessary and you are entitled to provide it.

Why we use your information:

We will use the information collected through the survey to:

• understand experiences of developing and negotiating commercial arrangements for community energy projects;
• identify gaps in existing templates, guidance and commercial documentation;
• help prioritise the development of new templates, guidance and other resources;
• analyse the findings of the research;
• contact you about your response where you have agreed that we may do so; and
• support the development and delivery of the Community Energy Commercialisation Standards programme.

Survey findings may be used in reports, guidance and other programme outputs in an aggregated or anonymised form.

We will not publicly identify you or attribute comments to you without your permission.

Our lawful basis for processing your information

Our lawful basis for processing your personal information is under Article 6(1)(f) of the UK GDPR. Our legitimate interest is in carrying out research to understand the experiences and needs of the community energy sector and using that research to inform the development of the Community Energy Commercialisation Standards programme, including the development of practical templates, guidance and other resources for the sector.

We consider that the use of your personal information for these purposes is necessary and proportionate, and that it does not override your rights and interests. Participation in the survey is voluntary.

Where we ask separately for your consent for an optional activity, such as contacting you for further information, you may withdraw that consent at any time

Withdrawal of consent will not affect the lawfulness of any processing carried out before consent was withdrawn.

Who will have access to your information

Survey responses will be accessible only to those organisations and individuals who need access for the purposes of delivering the Community Energy Commercialisation Standards programme.

This may include:

• North West Net Zero Hub;
• Regen;
• Carbon Co-op; and
• Spencer West LLP.

We will not sell your personal information or use it for unrelated marketing purposes.

Documents you choose to provide

The survey separately gives you the opportunity to provide commercial agreements, templates, guidance or other project documents.

Providing documents is voluntary.

Documents supplied through the survey will initially be used by the project team for research and analysis for the Community Energy Commercialisation Standards programme.

Please do not provide documents containing personal data, legally privileged material, confidential information or third-party material that you are not authorised to share.

Uploading a document does not give the project team permission to publish that document or make it publicly available.

If we would like to reproduce, adapt, publish or otherwise use a document, or part of it, in a future publicly available resource, we will contact you separately to obtain any necessary permission.

How we store and protect your information

Survey responses will be stored securely, within the project’s SharePoint environment and access will be restricted to authorised members of the project team.

We will take appropriate technical and organisational measures to protect personal information against unauthorised access, loss, alteration or disclosure.

How long we keep your information

We will retain identifiable survey information for 12 months following the completion of the project.

After that period, personal information will be securely deleted or anonymised unless there is a lawful reason for retaining it for longer.

Your rights

Depending on the circumstances, data protection law gives you rights in relation to your personal information, including the right to:

• request access to your personal information;
• ask for inaccurate information to be corrected;
• ask for your personal information to be deleted in certain circumstances;
• ask us to restrict the way we use your information;
• object to certain uses of your information; and
• withdraw consent where processing is based on consent.
